MINUTES

Preliminary Project Plan

Mike Green reviewed the preliminary project plan for the "report component" of Managerial Reporting Implementation Phase 1.  The Controller's Division has secured a short-term, limited scope contract with Andersen Consulting to assist with this portion of the implementation.  The following timing and schedule was reviewed and agreed to:

Mon CDT and PMT conference call to discuss project plan and prioritization of reports
Tues-Thurs Compilation of first draft of reports based on FAF samples
Fri Draft of report formats to CDT for preview and preliminary comment
Week#2
March 25-29
  CDT review of draft reports
Week #3
April 1-5
Tues CDT meeting:  formats reviewed and refined or confirmed
Wed Formats revised as necessary for CDT comment
Thurs CDT meeting:  formats reviewed and refined or confirmed

It was noted that the deliverable for this three-week period is preliminary formats for high-priority reports.

Reports

The prioritization of reports was discussed.  It was decided that for this three week period, the Core Design Team will be focused on developing the following preliminary high-priority reports, in this order of priority (the numbers reference those shown in the FAF final report on pages 7.9-7.11):

  • Operations Summaries (#s 1-4)
  • Cash (#7)
  • Capital Projects Summary (#5) - if time allows

The Core Design Team should receive a set of rough draft reports by Friday, March 22, 2002.

Meetings Scheduled

Two meetings of the Core Design Team were scheduled to review/refine/confirm formats. 

  • April 2, 2002 - (9 am - 12 pm)
  • April 4, 2002 - (1:30 pm - 4:00 pm)

These meetings will be held in Corvallis.

Next Steps

Over the next week or so the Project Management Team will be confirming the institutional team leaders for each campus.

It is anticipated that by the end of this three weeks (by April 5th) the Core Design Team will have developed the preliminary reports noted above. They will be incorporated into a formal report, which will then be distributed to campus personnel for their review and comment (to Directors of Business Affairs & Budget Officers and copied to Admin Council).

Phase 1 of the implementation plan will be reviewed/revised based on what is learned over the next three weeks.
